The Spa Administrative Officer is responsible for the coordinated operation of an assigned portfolio of white-label spa facilities. Golden Tree provides the operating organisation behind these facilities while services remain under the identity of the partner hotel.

The appointment sits two organisational levels above the Spa Experience Coordinator and three levels below the Cluster Manager. It carries supervisory responsibility for all SECs within the assigned portfolio and requires direct cooperation with hotel management.

You maintain a working understanding of each property: its service arrangements, staffing, reservation activity, financial administration, technical dependencies and outstanding operational matters. You are expected to identify where delivery is falling short, establish the cause and coordinate the necessary action.

The role requires sufficient practical knowledge of SEC duties to review how those duties are performed and to intervene effectively when a facility needs support. Responsibilities include reservation control, therapist coordination, guest handling, payment administration, facility readiness and continuity between shifts.

Decisions are taken within the authority assigned to the appointment. Matters requiring a higher level of approval are presented through the appropriate management channel with the relevant facts, operational implications and recommended action.

You provide operational direction to the SECs across your assigned hotels and facilities. This includes reviewing staffing arrangements, coordinating cover, following up on performance concerns and ensuring that instructions are understood and applied consistently.

Reservation accuracy, therapist allocation and facility capacity require regular review. You examine recurring scheduling problems, service interruptions and incomplete handovers, working with the local coordinator to resolve their causes. Where a problem affects more than one property, you coordinate the response across the relevant teams.

You work directly with hotel management on service delivery, guest concerns, access arrangements, facility requirements and planned changes. The white-label setting requires careful alignment with each hotel’s presentation, communication practices and guest expectations. Operational issues must be discussed clearly, documented accurately and followed through to resolution.

The appointment also oversees the quality of financial and administrative records. You review reconciliations, payment discrepancies, outstanding transactions, supplies and expenditure records within your remit. Exceptions requiring approval are referred with sufficient information for a decision.

Property visits form an essential part of the work. You assess conditions on site, review how procedures are being applied and discuss concerns with the people responsible for delivery. Findings must lead to specific actions, named responsibilities and subsequent verification.

Reporting to the relevant Golden Tree management functions should provide an accurate account of each facility’s position, including staffing, service quality, unresolved incidents, technical faults and matters requiring intervention.

Candidates must be able to supervise coordinators, work credibly with hotel management and maintain control of several facilities with different operational demands. Relevant experience should demonstrate responsibility for staff, administrative accuracy, guest matters and the resolution of operational problems.

The language requirements, expressed using the Common European Framework of Reference for Languages, are:

  • English at C2.
  • German at C2.
  • In addition, Russian, French or Arabic at C1 or above; alternatively, two other languages at C2.

Candidates must be able to use their required languages in professional correspondence, operational discussions and direct communication with guests and hotel representatives.

Substantial technical competence is required. The appointment involves working with the systems supporting the operation, investigating faults and communicating effectively with technical colleagues and external providers. Required capabilities include:

  • Microsoft Office, particularly Excel for reconciliation, analysis and operational reporting, together with structured documentation and professional correspondence.
  • Computer hardware, workstations, peripherals, connectivity and systematic fault diagnosis.
  • APIs, REST interfaces, JSON, authentication and webhooks, including the ability to understand data exchanges and investigate failed integrations.
  • Slack administration and integrations, automated notifications and connected operational workflows.
  • HTML and Java, together with related scripting and integration skills appropriate to the systems in use.
  • Server environments, user permissions, service logs, monitoring, backups and controlled configuration changes.
  • Apache Kafka and event-driven systems, including an understanding of topics, message flows and the investigation of delivery or processing failures.
  • PBX telecommunications, VoIP, SIP, call routing, extensions and the diagnosis of communication faults.
  • AI systems and neural-network fundamentals, including practical integration, output evaluation, data handling and recognition of system limitations.

Technical work must remain within assigned access rights and change authority. You must be able to distinguish a local device issue from a network, application, integration or service-provider problem, document the evidence and involve the appropriate specialist where necessary.

The ability to explain a technical problem clearly to hotel management is as important as the ability to investigate it.

The appointment is based in Salzburg and comprises 38 working hours per week. Reduced-hour arrangements are not available for this position. Additional hours may be agreed in response to operational requirements and are recorded and compensated under the applicable employment terms.

The remit covers multiple hotels and facilities and includes regular assignments in Munich lasting one to two weeks. Candidates must be available for this travel pattern. Golden Tree provides the required rail tickets, a company-funded KlimaTicket and the relevant business-class upgrades and supplementary tickets for Salzburg–Munich travel.

Any arrangement for unpaid passive rail-travel time must be expressly agreed and permitted by the applicable employment and collective-agreement rules. Required work performed during a journey is treated as paid working time. Travel remains subject to the applicable working-time requirements.

The proposed appointment and progression schedule is:

  • Initial appointment: a three-month fixed term at €3,260 gross per month, on a 14-payment annual basis.
  • First extension: where all requirements are met at the three-month assessment, the term is extended to six months in total, with the same monthly remuneration.
  • Second extension: successful completion of the next assessment leads to a further eight-month term at €4,280 gross per month, also on a 14-payment annual basis.
  • Subsequent advancement: where all requirements are met at the end of the additional eight-month term, promotion by one organisational level follows automatically.

Special payments are proportionate to the period of employment. The requirements governing each stage, the assessment arrangements and the subsequent appointment are to be specified in the employment documentation.

The public job classification is GE/I6-6. “G” denotes the general job category. “E/I” identifies eligibility for either an external entry appointment or an internal appointment; internal applicants must have completed at least six months with Golden Tree. The first “6” identifies the category level. The final “6” is the internal progression indicator relating to advancement into higher appointments or other parts of the organisation.
