The Spa Experience Coordinator oversees the daily operation of an AURIM property in Vienna, coordinating reservations, therapists, guest access and payments. Working with the CCD office and hotel teams, the SEC is responsible for an organised service, accurate records and the timely resolution or escalation of operational matters.
The Spa Experience Coordinator is responsible for the practical running of the assigned AURIM location during their shift. The role combines direct contact with guests and members with responsibility for reservations, staff coordination, facility readiness and transaction accuracy.
You maintain an informed view of the operation throughout the day: who is expected, which treatments are scheduled, which therapists and rooms are available, what has been paid and which matters require follow-up. Colleagues depend on you to communicate changes promptly and to keep the service organised as circumstances change.
When no supervisor or director is present, the SEC serves as the senior operational representative on site, exercising the authority delegated to the position. This includes coordinating therapists, cleaning personnel and trainees, addressing immediate service matters and involving the appropriate supervisory or hotel contact when further authority is required.
The position works within Golden Tree’s operating structure, in regular coordination with the CCD office and the relevant hotel departments. Accurate information, clear decisions and proper follow-through are central to the appointment.
Reservation and scheduling control is the central responsibility of the SEC. You maintain accurate booking records across the systems and calendars used by the property, checking treatment details, duration, therapist availability, room allocation and payment status. Reservations must be consistent, workable and communicated to the people delivering them.
You coordinate the day’s treatment schedule, brief therapists on their assignments and communicate permitted changes. Delays, late arrivals, cancellations and missed appointments require prompt attention, with consideration for subsequent bookings and the applicable reservation conditions. Exceptions requiring approval are referred through the designated channel.
At the property, you welcome hotel guests, external visitors and members, verify the booking or access entitlement relevant to their visit and explain the arrangements clearly. You help guests understand the available treatments and facilities, providing accurate information about prices, availability and inclusions. Questions requiring professional treatment advice are referred to the therapist.
Guest concerns are handled calmly and recorded accurately. You establish what has happened, take the action available within your authority and arrange escalation where necessary. Refunds, disputed charges and exceptions to cancellation conditions follow the applicable approval process.
The SEC coordinates with the CCD office on reservation and guest matters, ensuring that information exchanged between the office and the property is reflected in the actual service.
Each shift requires attention to the condition and readiness of the spa. You carry out the assigned opening, operating and closing checks, covering reception, treatment rooms, guest areas and the facilities within your remit. Cleanliness, presentation, supplies and equipment readiness must be checked, with shortcomings addressed through the responsible colleague or escalated for action.
You coordinate the practical requirements of the service, including towels, guest amenities and applicable refreshments. Therapists, cleaning personnel and trainees receive clear direction on operational priorities. Technical faults, safety concerns and incidents are reported promptly, with sufficient detail for the responsible team to respond.
The SEC handles authorised cash and card transactions, verifies payments and maintains accurate point-of-sale records. Receipts, booking records and payment entries must correspond. Reconciliation is completed as required, and discrepancies are reported with a clear account of the facts.
Reception coverage and continuity between shifts form part of the role’s responsibility. A handover must identify outstanding guest matters, upcoming appointments, payment questions, staffing changes and any facility issue requiring attention. Closing duties include the required checks of guest departure, room condition and security, with unresolved matters referred to the appropriate supervisor or hotel duty manager.
Operational records and guest information are handled confidentially through the approved company channels.
The appointment suits someone who can give an individual guest their full attention while maintaining an accurate view of the wider operation. Relevant experience in spa coordination, hotel operations, reservations, reception or a comparable service environment is valuable. Candidates should be comfortable coordinating colleagues, handling payments and working with several bookings and priorities at once.
The language requirements are English at a minimum of B2, German at a minimum of B1 and at least one additional language at C1 or above, according to the Common European Framework of Reference for Languages. All three requirements apply. Clear communication is essential both in direct guest contact and when recording information or passing responsibility to a colleague.
Professional presentation, punctuality, discretion and dependable follow-through are expected. The SEC must be able to recognise an error, address a concern and judge when a decision requires supervisory approval. Familiarity with AURIM’s operating procedures, reservation conditions, systems and reporting responsibilities is central to performing the role.
The reference salary is €2,140 gross per month, paid 14 times per year. Overtime is paid in addition. Reduced working hours are possible, with remuneration calculated proportionately to the agreed working hours.
The position carries Golden Tree’s public job classification GE3-4. “G” identifies the general job category, while “E” denotes an entry appointment for someone joining the organisation. “3” identifies the role’s category level. The final digit, “4”, is the internal progression indicator used to assess the role’s potential for advancement into higher appointments or other parts of Golden Tree.
The SEC appointment provides practical experience in staff coordination, guest relations, financial administration and daily operational responsibility. Over time, this experience may support consideration for supervisory, CCD-related or other internal appointments. Progression takes account of sustained performance, professional judgement, suitability for the next role and organisational requirements.
